Position Details

The Payroll/Benefits Specialist is responsible for the administration and processing of the bi-weekly payroll for approximately 450 full-time and part-time employees and all related payroll duties. This position is also responsible for Benefits, Medical Leave of Absences, Wellness Initiatives and Cobra Administration, and is the first point of contact for all inquiries related to payroll and benefits.  

 

Essential Duties and Responsibilities 

  • Provide quality customer service to employees and managers by handling requests related to pay, benefits, and Human Resources and ensuring the employee’s needs are met in a timely manner. 
  • Timely and accurately process payroll for approximately 450 full time and part time employees across 3 companies using ADP Workforce Now.  
  • Enter employee payroll changes, voluntary deductions, garnishments, etc. into ADP. 
  • Investigate and resolve payroll issues and ensure strict compliance with company and regulatory standards.   
  • Prepare and distribute standard and custom payroll reports.  
  • Maintaining employee data using ADP. 
  • Processing pay increases, bonuses, and commissions.  
  • Maintaining accurate records of payroll documentation and transactions.  
  • Review, process and reconcile time off requests and balances. 
  • Reconcile and process 401(k) deductions and submit contribution files.   
  • Work with payroll provider to reconcile tax inquiries and/or discrepancies. 
  • Interact daily in a professional manner with all levels of employees to address payroll, benefits, leave of absence requests, policies, procedures, and other programs.   
  • Manage benefits eligibility and enrollment to include 401(k). 
  • Ensure employees know what benefits are offered by the company and how their benefits work. 
  • Answer any questions employees have about their benefits. 
  • Communicating with insurance vendors and benefit broker to resolve issues. 
  • Keeping up-to-date records of each employee’s benefits profile.   
  • Oversee and administer the annual open enrollment process, including coordinating with external vendors and benefit brokers.  
  • Reconcile monthly benefit invoices. 
  • Coordinate paperwork and manage all FMLA, PFML, STD, and LTD claims. 
  • Conduct internal HR audits to ensure compliance with federal and state regulations. 
  • Assist in the preparation of annual reports and filings to include 401(k) census, PCORI, ACA, Benefit surveys, etc.  
  • Additional duties as assigned. 

 

Education and Experience 

  • 3-5 years strong ADP Workforce Now payroll processing experience. 
  • 3-5 years Benefits experience, including Leave of Absence administration. 
  • High school diploma or equivalent required.  
  • Associate’s Degree preferred. 

 

Skills/Qualifications 

  • Strong knowledge of ADP Payroll Processing. 
  • Knowledge of Federal, State, and local HR laws and ability to keep current with all changes 
  • Knowledge of payroll, garnishments, tax and wage laws, and benefits distribution 
  • Strong attention to detail skills 
  • Excellent mathematical and calculation skills 
  • Strong Integrity skills and ability to be honest and ethical by following company policies and procedures 
  • High level of skill in handling sensitive and confidential situations/information with the demonstrated ability to maintain strict confidentiality.  
  • Proficient in MS Office Programs: Word, Excel, PowerPoint, and Outlook. 
  • Strong professional and proven written, verbal and interpersonal English communication skills. Must be able to work effectively and clearly one-on-one and in groups; must be a quick, concise writer, able to write in a direct, effective manner.  
  • Strong multi-tasking, follow-through and organizational skills with the ability to pay close attention to detail under deadline pressure. 
  • Strong problem-solving skills.  

 

Physical Demands 

  • Routinely required to move about the facility, sit, bend, reach above head and lift from ground.  
  • Ability to see, hear and talk. 
  • Extensive verbal and computer work.  
  • Routinely required to keyboard and manipulate small and large objects. 
  • Occasionally required to lift up to 25 pounds. 

 

Work Environment 

  • Internal office work environment.  

 

Travel 

  • Occasional travel by car.
